Latest Trends with Workday

It’s no secret that Workday has been moving into the ERP space for the past few years, and 2020 has brought its own advancements. Founded in 2009, Workday initially targeted universities and colleges to create campus solutions (e.g. enrollments). Two years later, Workday began targeting small- to mid-sized companies, and today; big companies like Apple and Facebook. We had the opportunity to speak with Sumit Pandey, a Workday expert, about the innovation and changes that are being made and what Workday looks like in the upcoming year.

What are some of the new trends companies are doing with Workday?
Workday has been moving towards the ERP space, and in order to do this, it has been focusing on financials. Companies are now moving from legacy financials to Workday financials. Patrick Neeley, EVP of Operations at Simmons First International Corp. says “Workday allows us to seamlessly and quickly take financial data or performance data and marry it up with operational data to really drive out trends and see what’s moving the needle of business.” It is a tool that has provided immense value to the financial sector.

Workday has also come out with personalized technology called Workday Extend (formerly Workday Cloud Platform), in which automations create custom apps and extensions. This is beneficial for companies, as they have the ability to create additional tools along with Workday’s offerings, to meet their unique business needs. An example of this is a training kit app for new hires that includes things like learning and training modules.

Additionally, Workday now has the capability to include video. Companies now have the ability to post this type of content on their homepages, for example social distancing guidelines in the workplace. This opens the door to a new way of communication instead of relying on things like instant messenger, e-mail, and other forms of text content.

Currently, what are some of the challenges that companies are trying to solve with Workday?
There are a few challenges that Workday is attempting to address. First, when re-hiring an employee, ID’s can easily get duplicated in a company’s system, when the ID’s need to be merged. Since they have a prior ID in the system, they need to search things like the employee’s national ID, address, etc. to merge their ID with their new ID. Currently, Workday doesn’t have the ability to search for this old ID, it only provides you with a list of solutions that it finds.

In addition, Workday doesn’t allow for dynamic security assignment. This means that managers don’t have the ability to set security processes for a task, so the right people have access to it. For example, in a performance review, if the manager is on leave, he or she may want to assign it to their delegate so they have access to it, however this is not available as of yet.

What are some of the best improvements of Workday 2020?
Today, Workday has begun doing two big releases a year. One enhancement Workday released in 2020 is Correct Worker Start Date, which allows users to alter event dates like correcting the hire date of a worker. It reduces manual labor and ensures data integrity.

Additionally, Workday has implemented configurable section headers and instructional text on job applications, so employers choose what candidates see. This also has a translation feature which provides a better user experience for candidates.

Workday also rolled out a feature called Workday Assistant which helps with workflow and task completion. This is beneficial for both employers and employees as this chat-bot provides information and instruction on performing and completing tasks in a conversational format.

Lastly, learning prerequisites have been added to Workday, eliminating tedious manual work. Administrators have the ability to control the learning catalog, and provide content based on a user’s completion of certain courses or programs to create an easier process flow and get employees the content they need at the right time.

Is Workday considered a fully functioning ERP?
It is not considered a full ERP yet, but it competes with other ERP vendors. Currently, Workday is only offering payroll in the US, Canada, the UK, and France. It is trying to expand countries, but there is no announcement when this will take place. I predict they will extend to a few more countries for payroll for 2021, but there is no guarantee of this. However, they are able to integrate payroll providers so be sure to reach out to them about your specifics.
